Donor Privacy Policy

United Way of Clinton, Iowa Donor Privacy/December 2019

I. PURPOSE

United Way of Clinton County, Iowa has strong relationship and business needs to collect and store information about the individuals, businesses, and industry that participate directly with UWCCI or use various communication portals with UWCCI. Those individuals, businesses, and industry have strong interests in knowing how UWCCI uses donor information and protect donor privacy.

II. POLICY STATEMENT

United Way of Clinton County, Iowa (UWCCI) values the trust its donors and other stakeholders place in the organization and adheres to the highest standards in gathering, using, and safeguarding donor information. We do not rent, sell or trade donor information to any third party outside of the United Way system.

III. PROCEDURES

Donor information provided to UWCCI is used to help ensure accurate campaign records, to process and confirm receipt of donations, and to respond to any requests. We also use provided information to send acknowledgement of gift information and information about our work. Individuals, businesses or industry may let us know at any time that they do not wish to receive such communications by contacting the UWCCI office. In addition, or system-wide e-mail message received from UWCCI will include instructions on how to unsubscribe.

UWCCI educates employees and volunteers on the importance of protecting the privacy and security of confidential personal and organizational information during new employee orientation and policy updates when renewed. Organizations that provide operational or other support services to UWCCI must also agree to safeguard donor information in strict compliance with our Donor Privacy Policy.

UWCCI does not provide donor information to third parties except under the following conditions:

Designations – If any portion or all of a donor gift is directed to another United Way, UWCCI funded agency or program, or any 501 (c)

UWCCI provides that organization with the donor’s name, contact information, place of employment and the amount of your designated gift. If a donor does not want this information provided to the organization to which He/she has designated their gift, they may indicate on their pledge card that he/she wishes to remain anonymous. Donor information is not provided for designations directed away from an organization or program. Although we encourage agencies to set high privacy standards, we do not control their policies, and we therefore cannot take responsibility for their use of donor contact information.

Public Recognition – There are times when we publicly recognize and thank donors, volunteers, and other stakeholders for their generosity. If you prefer to remain anonymous, please indicate this when completing your pledge form. Third Party Suppliers – In order to maintain cost effectiveness and continue to provide a high level of donor service, selected third parties (ie: data processing, pledge card scanning or mailing firms) may conduct processing duties on UWCCI’s behalf. These companies will be required by UWCCI to enter into strict confidentiality agreements and agree to not keep information on file after the contract has been completed.

As Required By Law – UWCCI will release information when required to comply with the law or in the good faith belief that such action is necessary to conform to the requirements of the law or comply with legal process served upon UWCCI, protect our rights, or act in urgent circumstances to protect the personal safety of others. We may also use personal information to protect against potential fraud. We may verify with third parties the information collected in the course of processing donation or event registration. If a donor uses a debit or credit card on the website, UWCCI may use card authorization and fraud screening services to verify that the donor card information and address matches the information provided us and that the card being used has not been reported lost or stolen.

Personal information is stored on UWCCI’s computer(s) and is NOT publicly accessible. Personal information is only accessed by UWCCI personnel on a “need to know” basis. Physical, electronic, and managerial procedures are in place to prevent unauthorized access, maintain accuracy, and to safeguard and ensure proper use of information collected. Sensitive data, such as credit/debit card numbers, are processed using industry and standard security measures.

Donors may review or verify personal information that has been collected and stored on UWCCI system by contacting UWCCI in writing at uwclinton@iowatelecom.net or 405 S 3rd St., Ste. 200 Clinton, IA 52732.

We reserve the right to change this Donor Privacy Policy from time to time. The most recent update will be listed on the polciy.. For changes to this policy that may be materially less restrictive on UWCCI use or disclosure of personally identifiable information, commercially reasonable measures to obtain donor consent will be used before implementing the change. This includes sending a notice to a primary email address and the home address
